All media representatives must be credentialed by IASLC before being officially registered.

Journalists, including photographers, must work exclusively for the outlet for which they are credentialed (exceptions for freelance journalists are detailed below). Journalists who use their media privileges to work for non-credentialed organizations will have their privileges revoked. Journalists are required to complete the media online pre-registration form and submit the following: 

1. A letter of assignment on the letterhead of the news organization being represented.
2. A photocopy of official press credentials, such a press card issued by a recognized journalists’ association or a government-sanctioned press organization (IASLC does not recognize press cards issued by web-based organizations such as IFNM) and/or a business card issued by a recognized news organization.

Freelance journalists, including photographers, may work for multiple publications, as long as they confirm in advance that those publications are eligible for media registration. Freelance journalists must submit the following:

1. A letter of assignment on the letterhead of the news organization being represented.
2. A recent copy of the publication (a mailed copy, link to the publication’s website or a photocopy of a cover/issue published within the past 6 months).

Every dollar you give to the IASLC Foundation, LLC funds vital lung cancer research. When you donate, you support the next generation of early-career researchers, and you give the gift of hope to the thousands of people affected by lung cancer worldwide. Hope for new treatments. Hope for improved opportunities. Hope for a better tomorrow.

Donations to the IASLC Foundation, LLC are non-refundable and are tax-deductible in the US. Donors consent to having their names and donation amounts featured in IASLC Foundation, LLC materials, including, but not limited to, donor walls, broadcast "thank you" messages, and annual report donor listing.

Booking Deadline: The deadline to book is Friday, August 1, 2025, and is subject to availability. (Rooms may be sold out prior to this date)

Payments
To secure special hotel rates, all hotel reservations must be submitted through the Online Housing System. A credit card is mandatory for every reservation and must have an expiration date later than September 2025. Your credit card will not be charged until approximately 30 days prior to arrival.

At approximately 30 days prior to arrival, the hotel will charge a non-refundable, full stay to the credit card on file. If you wish to change the credit card provided, you may do so no later than Friday, August 1, 2025. If the credit card is invalid, your reservation may be cancelled. 

All hotel rates are quoted in EURO and exclude applicable city taxes (*currently, the city tax varies depending on the property selected). Rates include Wi-Fi and breakfast.

All room rates include VAT.

Important Third-Party Billing
If accommodation has been booked with a credit card that is not in the guest's name, the cardholder will be required to complete a Payment Authorization Form directly with the hotel. Please email wclc2025-housing@icsevents.com, and we will alert the hotel to send you the form 30 days prior to arrival when they have access to the rooming list.

Cancellations and Reductions in Room Nights
Cancellations and reductions in room nights must be made no later than Friday, August 1, 2025, to avoid a penalty charge equal to the full stay. Cancellations or reductions after Friday, August 1, 2025, will result in all room nights being charged to the credit card on file. No refunds will be issued for no-shows.

The personal data you are asked to provide on this registration form is being collected by International Conference Services Ltd. on behalf of the International Association for the Study of Lung Cancer to process your Conference registration and take payment, send you information about the WCLC 2025, provide you with the login details to the Online Platforms (IASLC Mobile App and IASLC Learning Management System) and to provide customer service before, during and after the Conference. Nominative data, for example name and email, is never shared without your consent unless it is necessary for providing services to you. For example, your data may be made available to contractors including but not limited to the online platforms provider and the Ecommerce payment gateway. The International Association for the Study of Lung Cancer will have access to your data to update their records. Non-nominative tracking data may be shared with sponsors and exhibitors for statistical purposes and may include profession, organization, department, city, country, etc. On some sections of the online platforms your nominative data (e.g. your name) may be shown to others and you agree to such by using certain features

Exhibitors and industry symposia supporters may scan your badge when you visit their booth or symposium. IASLC will share your information only if you allow your badge to be scanned onsite. Declining onsite scanning means IASLC won’t share your information.

Registration and attendance at, or participation in WCLC 2025 constitutes an agreement by the registrant to IASLC’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videotapes, electronic reproductions and audiotapes.
