Consent to use of Personal Information

ISSW 2023 follows the European Union’s General Data Protection Regulation (GDPR) for the collection, use, disclosure, and transfer of data. The personal data you are asked to provide on this registration form is being collected by International Conference Services Ltd. on behalf of ISSW 2023 to process your conference registration and take payment, send you information about ISSW 2023, provide you with the login details to the virtual platform and to provide customer service before, during and after the conference. Nominative data, for example name and email, is never shared without your consent unless it is necessary for providing services to you. For example, your data may be made available to contractors including; but not limited to, the virtual platform provider and the Ecommerce payment gateway. ISSW 2023 will have access to your data to update their records. Non-nominative tracking data may be shared with sponsors and exhibitors for statistical purposes and may include profession, organization, department, city, country, etc. On some sections of the virtual platform, your nominative data (e.g. your name) may be shown to others and you agree to such by using certain features.

Should you not wish to share your personal information with an exhibitor or sponsor there is no obligation to allow your badge to be scanned by these parties.

Please note badge scanning for access by the conference organizer is required and your information will remain confidential.

Additionally, 2023 International Snow Science Workshop would like to support sponsors and exhibitors by providing nominative data including your full name and email address if you agree below. You can unsubscribe at any time.

Attendee Mobile App Visibility

The 2023 International Snow Science Workshop will offer a complimentary mobile phone app for delegates to interact and access information during the conference. You can consent to have your personal details shared with other attendees to enhance your networking opportunities. You can change your visibility at any time directly within the Attendee App. If you choose to withdraw your consent, you are still able to use the attendee app however your details will not be shown in the attendee search, and you will not be able to access all features available in the App.

Credit Card charges will appear as "USD http://www.icsevents.com" on your credit card statement and will be converted to your currency.

Registration cancellations received in writing at the ISSW 2023 Secretariat's address on or before August 25, 2023 will be accepted and all fees refunded, less a $150.00 USD administrative fee (as per Committee policy). Cancellations received after August 25, 2023 will not be refunded; however, transfer of your registration to another person is acceptable. This can be done by re-accessing your registration. No refunds will be made for non attendance at the conference. 

In the unlikely event that the Conference is cancelled, travel and accommodation costs will not be refunded.

Confirmation Letter

Upon completing your registration, a registration confirmation email will be sent to you. If not received, please check your spam folder. Please note that some organizations/universities may have a firewall that prevents our communication from reaching you. Should this be the case for you, please email issw2023-registration@icsevents.com and provide a personal secondary email address.

For delegates of the 2023 International Snow Science Workshop a room block has been secured at the Conference venue, the Riverhouse on the Deschutes located Central Oregon. 



Additional rooms have also been booked at the Shilo Inn Please call the hotel at 541-389-9600 or email wes.rathbun@shiloinns.com to book your accommodations.
Please quote “ISSW” and the room type to obtain the conference rate.

Room Types Available:
Courtyard Rooms - $149.00 USD
River View Rooms - $189.00 USD

The Conference Secretariat (International Conference Services) is the official housing bureau and will offer assistance with the coordination of housing requirements for ISSW 2023. Special room rates have been negotiated and will be available to Conference delegates only.

The success of ISSW 2023 depends on delegates, sponsors and exhibitors using the official Conference hotel by booking through the official housing bureau. ISSW 2023 cannot meet contracted room obligations if registrants reserve rooms outside the official hotels or book hotels through channels other than the official housing bureau. Rooms that are not filled through the official housing bureau create an expense for the Conference in the form of financial penalties (attrition fees) and place the financial success of the Conference at risk.

WARNING: Please beware of housing piracy companies. They are contacting delegates/sponsors to book rooms through their channels and are claiming that they control the rooms for the Conference. They do not. These companies charge non-refundable deposits from the moment you book their rooms; thus making it impossible for delegates to cancel their reservations. In some situations, rooms are not booked but payment has been taken.
