Registration cancellations received in writing at the ICBM 2025 Congress Secretariat’s e-mail address by June 30, 2025 (23:59 CET) will be accepted and all fees refunded, less a EUR 100.00 administrative fee, as per Committee policy. Cancellations received after June 30, 2025 (23:59 CET) will not be refunded; however, transfer of your registration to another person is permitted by re-accessing the original delegate’s registration via the confirmation letter and replacing it with the new delegate. No refunds will be made for non-attendance at the Congress.

In the unlikely event that the Congress is canceled, travel and accommodation costs will not be refunded.

IMPORTANT: Upon completing your registration, you will receive a Registration Confirmation email along with your invoice and, if requested, the invitation letter. If not received, please check your spam folder.

For delegates of ICBM 2025 a room block has been secured at Hilton Vienna Plaza. Please make sure to secure your rooms no later than Friday, July 04, 2025  (23:59 CET).



The Congress Secretariat (International Conference Services Ltd.) is the official housing bureau and will offer assistance with the coordination of housing requirements for ICBM 2025. Special room rates have been negotiated and will be available to Congress delegates only.

The success of the ICBM 2025 depends on delegates, sponsors and exhibitors using the official Congress hotel by booking through the official housing bureau. ICBM 2025 cannot meet contracted room obligations if registrants reserve rooms outside the official hotels or book hotels through channels other than the official housing bureau. Rooms that are not filled through the official housing bureau create an expense for the Congress in the form of financial penalties (attrition fees) and place the financial success of the Congress at risk.
