The IBA has contracted a limited number of bedrooms for delegates at the hotels included on this booking form,

from Saturday 1 – Friday 7 November 2025 inclusive.

For arrival/departure dates outside of this period, please book the dates that are available and put a note in special requests and we will ask the hotel for the rate and availability. 

Rates are quoted in Canadian Dollars inclusive of wi-fi, exclusive of breakfast, sales tax (currently 13%) and municipal accommodation tax (currently 6.78%). Rates apply, subject to availability, to reservations made via Judy Lane International Conference Services Ltd (Judy Lane ICS).  Please note that Judy Lane ICS is the only official hotel booking agency partnering with IBA for the Toronto Conference.

Booking Terms and Conditions
Reservations cannot be made without valid credit card details (Visa, MasterCard and American Express are accepted).  Please ensure that your card does not expire before December 2025.  If you are using a third-party credit card to make the booking, you must have the permission of the cardholder to use their card for this purpose.

The card that you submit with this booking form will be charged the NON-REFUNDABLE full-stay rate plus all tax from 15 September 2025 by the hotel you have booked.

If the hotel is unable to charge the card you have submitted with your booking form, you will be emailed by Judy Lane ICS and asked to provide alternative card details within 48 hours or your hotel room will be released but you will still be financially responsible for any penalty charges from the hotel.  IBA will not pay any cancellation penalties on your behalf.

Please only submit one booking form in your name.  To change your hotel once booked, please contact Judy Lane ICS by email (hotels@judylaneics.com) and we will check availability.  Please do not submit another booking form as you will be liable for all rooms booked.

By completing this form, you enter into an agreement with the hotel you have booked regarding credit card guarantees, cancellation/no-show terms and conditions and room rates.  Neither the IBA or Judy Lane ICS can accept responsibility for accommodation disputes between a delegate and a hotel.

Cancellation Terms and Conditions
Should you need to cancel or amend your reservation, please contact Judy Lane ICS by email (hotels@judylaneics.com).  You will receive an email confirming receipt of your cancellation/amendment.  If you do not receive this email, your cancellation/amendment has not been processed/received.  In this case, please contact us by telephone on +44(01293) 888352.

Cancellations received after 17:00 UK time on 12 September 2025, will be liable for the full-stay penalty.  This cancellation penalty also applies to bookings made after 12 September 2025 and no-shows (non-arrival on the day of your reservation without prior notification).  Penalties due will be charged to the credit card you submit with this form by the hotel that you have booked.

Agreement to Booking/Cancellation Terms and Conditions
I have read and agree to the above booking/cancellation terms and conditions.  I agree that the credit card submitted with this booking form can be charged by the hotel I have booked for the NON-REFUNDABLE full-stay rate plus taxes from 15 September 2025.  I further understand that if the card submitted with this form cannot be charged and I do not respond with new card details within 48 hours of being contacted, my booking will be released but I will still be liable for any cancellation penalty charges issued by the hotel.  I further confirm that if the card submitted with this form belongs to another party, I have their full permission to use it for this purpose and I confirm that they are fully aware of and in agreement with the booking/cancellation terms and conditions.

Judy Lane ICS is storing this data to be able to make a room booking at the hotel of your choice on your behalf and to send you relevant notification emails.
To make a hotel reservation, Judy Lane ICS will share the credit card details you provided along with the following personal data: first name, last name and country.
You can ask for your personal details to be updated, amended or removed from our database or withdraw your consent for the collection and processing of your personal data at any time by emailing hotels@judylaneics.com.  Please include your full name, organisation, email address and any updates/amends that you wish us to action.  Please note that a request to remove your personal data from our database or withdrawal of your consent might result in Judy Lane ICS being unable to reserve your hotel room or your reservation being cancelled.  In case of a cancellation, you will be financially liable for any cancellation penalty due, as detailed in the booking terms and conditions of this form.

For the location of the hotels, please refer to the hotel map.  The Conference will take place in the Metro Toronto Convention Centre. 

Once you have selected your check-in check-out dates, please "Search" to select room type and occupancy.  If the hotel shows as full during the period of your required dates, please check back regularly as we are receiving cancellations and once processed these will immediately go back onto the site.  A good time to check is just before the date to cancel without penalty which is 12 September 2025.
